Peer Evaluation Process/Timelines

Manuscripts submitted to Cogitare Enfermagem undergo a three-stage review process.

Once submitted via the OJS – Open Journal Systems platform (http://revistas.ufpr.br/cogitare/login), a submission number is assigned, which serves as the manuscript’s identifier in the system.

Stage One the manuscript is received and reviewed by the Editor-in-Chief, who evaluates the following aspects: scope, timeliness, relevance, ethical considerations, and the research methodology. At this stage, the manuscript may either be rejected or forwarded to an Associate Editor according to the relevant field of knowledge (processing time: up to 30 days).

Stage Two the Associate Editor forwards the manuscript to the technical reviewer, who checks compliance with the journal’s guidelines (article formatting and supplementary documentation) and performs a plagiarism check using anti-plagiarism software. At the end of this stage, the manuscript may either proceed to the next stage or be returned to the authors for adjustments (processing time: up to 30 days).

Stage Three once the manuscript is formatted according to the journal’s guidelines, the Associate Editor sends it to two ad hoc reviewers who evaluate it using a structured review instrument. In cases of disagreement between the reviewers, the manuscript is sent to a third reviewer (processing time: up to 120 days).

The Associate Editor manages the entire process between the reviewers and the corresponding author, and their name will be published as the person responsible for the review process.

Cogitare Enfermagem adopts two peer review modalities:

  1. Open review (preferred): in which authors and reviewers are aware of each other’s identities.
  2. Double-blind review: in which authors and reviewers remain anonymous to one another.

However, by 2027, all peer reviews will transition to the open review model. This period is intended as an adjustment phase for both reviewers and authors. The review modality will depend on the timing and nature of the manuscript’s submission—for example, manuscripts deposited in preprint repositories will undergo open review.

The Associate Editor will make a recommendation to the Editor-in-Chief, who will decide whether to approve, request revisions, or reject the manuscript, based on the evaluations provided by the reviewers and the Associate Editor.

At any point during the review process and prior to final approval for publication, the corresponding author may formally withdraw the manuscript, provided the request is signed by all authors.

Manuscripts addressing emerging topics or special calls for papers may follow the fast-tracking system (accelerated review) to facilitate rapid dissemination of findings and discussion particularly regarding neglected diseases and emerging health issues, with a special focus on nursing. The review process will be expedited by the Editor-in-Chief and the Editorial Board, who may approve or reject the manuscript.

The Editor-in-Chief and the Editorial Board are responsible for assembling each published volume.

Editorial Production Stages: the editorial workflow includes the following steps: final technical review, final scientific review, formatting and standardization, proofreading, translation requests, receipt of translated versions, PDF layout, final author proofing, online publication on the journal’s website, XML tagging, and submission to indexing databases.

The average timeframe for completion of this entire process is 45 days.

Cogitare Enfermagem has a technical team that includes a pool of certified translators (including nurses), who issue official translation certificates. Manuscripts will only be published upon submission of a valid translation certificate, both for English and Spanish versions.

Preprints

Cogitare Enfermagem accepts the submission of preprint articles. A preprint is defined as a manuscript ready for submission to a journal that is deposited in reputable preprint servers before or simultaneously with journal submission. This practice, along with continuous publication, helps accelerate the dissemination of research. Preprints share the novelty requirement with journal publications and may hinder the use of the double-blind peer review process.

Submissions from nationally and internationally recognized preprint repositories will be accepted. This information must be included in the Open Science Compliance Form (download), submitted as a supplementary document.

AI-Assisted Technology Declaration

Cogitare Enfermagem recognizes that LLMs (Large Language Models) may serve as valuable tools for research. Authors must disclose whether AI-assisted technologies (LLMs, chatbots, or image generators) were used in the preparation of the submitted manuscript, strictly for improving readability and language quality during the writing process. The use of such technologies must be supervised by researchers, as AI-generated content may be inaccurate, incomplete, or biased.

AI-assisted technologies must not be listed as authors. Authorship entails responsibilities and contributions that only humans can fulfill, as outlined in the ICMJE criteria available at: http://www.icmje.org/recommendations. Authors must ensure that their manuscript does not contain plagiarism, including content and images generated by AI. Proper credit must be given for all cited materials, including full references.

With regard to the use of AI or other LLMs in the writing process, authors must include a statement in the Submission Document (download) with the following content:

The authors declare the use of Generative AI and AI-Assisted Technologies in the writing process: during the preparation of the study entitled: ...... the author(s) used [NAME OF TOOL/SERVICE] for [SPECIFIC PURPOSE, e.g., language editing, translation, etc.]. After using this tool/service, the author(s) reviewed and edited the content as needed and take full responsibility for the content of the publication.

Additionally, the use of AI must be mentioned in the Methods section of the manuscript, specifying the name of the tool and its purpose.

Open Data

Aligned with the Open Science movement, Cogitare Enfermagem encourages authors to publish open data, codes, methods, and other materials resulting from their research — typically underlying the texts published in academic journals — in public online repositories such as This information must be included in the , submitted as a supplementary document.

Aligned with the Open Science movement, Cogitare Enfermagem encourages authors to publish data, codes, methods, and other materials used and resulting from their research — which are typically embedded in the text of published articles — in open online repositories.

It is important to note that, in specific situations and at the discretion of the Editors regarding an accepted manuscript, the deposition of data in open repositories such as SciELO Data, Zenodo, Figshare, OSF and Mendeley Data.

Information regarding data deposits in repositories must be included in the Open Science Compliance Form (download) which should be submitted as a supplementary document. For further information, please refer to:

Open Access Policy

Cogitare Enfermagem provides free public access to all its content, based on the principle that making research freely available fosters greater global knowledge exchange. This access is associated with increased readership and citation of an author's work.

For more information on this approach, visit the Public Knowledge Project, which developed this system to enhance the academic and public quality of research, distributing OJS and other software to support the public-access publishing system for academic sources.

We inform that, during the editorial process, authors will be requested to complete the Data Availability Statement, which will be provided by the Technical Review team. This statement, which will be published alongside the article, describes whether and where the underlying data supporting the study are accessible (within the manuscript itself, in a public repository, or upon request), ensuring transparency and enabling the reproducibility of the results.
